Account Notes

Overview

Account Notes allows you to create, manage, and track notes associated with your accounts. Notes can include contact information and free-text details, making it easy to keep a running record of important account interactions and information.You can access Account Notes from the main navigation or view notes for a specific account within their detail page.

Accessing Account Notes

Navigate to Account Notes from the main sidebar menu:

Customers → Notes
Vendors → Notes
Dealers → Notes
Retailers → Notes
Resellers → Notes

The exact menu label depends on your organization's account type configuration.

Viewing Notes

The Account Notes page displays a paginated table with the following columns:

Column	Description
Account	The account the note is associated with
Contact	The contact person related to the note (if provided)
Note	The note text content
Created Date	When the note was originally created
Updated Date	When the note was last modified

Search and Filter

Use the search bar to filter notes by vendor name.

Sorting

Click any column header to sort the table by that column.
Click again to toggle between ascending and descending order.

Pagination

Use the pagination controls at the bottom of the table to navigate between pages.

Creating a Note

Click the Create button at the top of the Account Notes page.
A sidebar panel will open on the right side of the screen.
Fill in the following fields:
- Account (required) - Select the account this note belongs to.
- Contact (optional) - Select a contact person associated with the note.
- Note (required) - Enter the note text.
Click Save Note to create the note.

The new note will appear in the notes table after saving.

Editing a Note

Locate the note you want to edit in the table.
Click the edit icon on the note row.
The sidebar panel will open with the existing note details pre-filled.
Make your changes to the vendor, contact, or note text.
Click Save Note to update the note.

A history of changes is tracked automatically for each note.

Deleting a Note

Locate the note you want to delete in the table.
Click the delete icon on the note row.
A confirmation prompt will appear - confirm to permanently delete the note.

Note: Deletion is permanent and cannot be undone.

CSV Bulk Upload

You can create multiple notes at once by uploading a CSV file.

Download the CSV Template

Click the Download CSV Template button on the Account Notes page.
A pre-formatted CSV file will download to your computer.
Fill in the template with your note data, following the column format provided.

Upload Notes via CSV

Click the Upload CSV button on the Account Notes page.
In the upload modal, select your completed CSV file.
The file will be uploaded and processed.
Once processing is complete, the new notes will appear in the table.

Notes in the Account Detail View

You can also view and manage notes directly from an account's detail page.

Accessing Notes in Vendor Detail

Navigate to the account you want to view.
Open the account's detail page.
Click the Notes tab (next to the Contacts tab).

Viewing Notes

The Notes tab displays a compact list of notes for that specific account, showing:

Column	Description
Note	A preview of the note text (first 100 characters)
Contact	The associated contact person
Date	When the note was created or updated
User	The user who created the note

Adding a Note from Account Detail

Click the Add button in the Notes tab.
A modal editor will open.
Fill in the following fields:
- Contact (optional) - Select a contact from the dropdown.
- Note (required) - Enter the note text.
Click Save to create the note.

The account is automatically associated since you are already on their detail page.

Editing a Note from Account Detail

Click the Edit button on the note you want to modify.
The modal editor will open with the existing note details.
Make your changes and click Save.
