What Are Serials?

Serials are unique identifiers (serial numbers) that you can attach to products in your catalog. They let you track individual units through the ordering process -- from creation in your inventory all the way through to fulfillment on an order.Each serial belongs to a specific product (SKU) within a catalog. A serial can be unassigned (available in the pool, ready to be used on an order) or assigned (linked to a specific line item on an order).

Enabling Serials

Navigate to Settings, under Inventory, toggle on Serials, and click Save.

The Serials Screen

Navigate to Inventory > Serials to open the main Serials management screen.From here, you can create new serials, search and filter your serial inventory, view which orders serials are assigned to, and delete serials you no longer need.

Creating a Serial

Click the Create button in the upper-left area of the screen.
A sidebar panel opens with three fields:
- Catalog - Select the catalog that contains the product. This is required before you can choose a SKU.
- SKU - Start typing a SKU code or product name to search. The field will show matching results with the SKU displayed prominently and the product name below it. Select the correct item. (This field is disabled until you select a catalog.)
- Serial - Type the serial number value you want to create.
Click Save to create the serial. It will appear in your serial list as an unassigned serial, ready to be used on orders.
Click Cancel to close the sidebar without saving. You can also close the sidebar using the red X button in the upper-right corner.

Tip: All three fields are required. If you skip one, a validation message will appear beneath the field telling you what's needed. If there is a server error (such as a duplicate serial number), an error message will appear above the Save/Cancel buttons.

Searching and Filtering

The search section sits directly below the page header. You have several ways to narrow down the serial list:

Filter	What It Does
Serial	Type a full or partial serial number to find a match.
Order	Type an order name to show only serials assigned to that order.
Catalog	Select a catalog from the dropdown to limit results to that catalog's products.
Catalog Item	After selecting a catalog, type a SKU or product name to narrow to a specific product.(Only shows items that have serials enabled.)
Unassigned	Toggle this on to show only serials that are not currently assigned to any order.

After setting your filters:

Click Search to apply them. You can also press Enter in the Serial or Order text fields to search immediately.
Click Reset to clear all filters and return to the default view.

The Serials Table

The table displays your serials with the following columns:

Column	Description
Actions	A delete (trash) icon. Only appears for serials that are not assigned to an order.
Serial	The serial number value.
Catalog	The catalog the serial belongs to, or a dash if none.
SKU	The product SKU code, or a dash if not linked to a catalog item.
Product	The product name, or a dash if not linked to a catalog item.
Order	The order name, displayed as a clickable link that takes you directly to that order's entry screen. Shows a dash if the serial is unassigned.
Vendor	The vendor associated with the serial, if applicable. This column header may display a different name (such as "Customer" or "Partner") depending on your supplier configuration.
Created At	The date the serial was created.

Sorting: Click the column header on Serial, Order, or Created At to sort ascending or descending. By default the table sorts by Created At (newest first).Pagination: The table shows 25 records per page. Use the pagination controls at the bottom to navigate between pages or change the page size.

Deleting a Serial

You can only delete serials that are not assigned to an order. Assigned serials must first be removed from their order (see the section on Managing Serials on an Order below).

Find the serial in the table.
Click the trash icon in the Actions column.
A confirmation overlay will appear -- confirm the deletion.
The serial is permanently removed.

CSV Operations (Supplier Users)

If you are logged in as a supplier user, a CSV dropdown button appears in the upper-right area of the screen. It provides two options:

to your computer. Use this template to prepare serial data for a bulk import.
Upload CSV - Opens an upload dialog where you can drag-and-drop or browse to select your completed CSV file. Once uploaded, the serials are processed in the background and will appear in your serial list.

Managing Serials on an Order

When you are working in Order Entry, any line item whose product supports serial tracking will display a serial management section directly on the line item. This is where you assign, edit, and remove serials for that specific order item.

Adding a Single Serial

In the serial search field on the line item, start typing a serial number.
A dropdown will show matching unassigned serials from your inventory.
Click the serial you want to assign.
The serial is immediately added to the line item, and the search field resets so you can add another.

Tip: If the product has manual serial entry enabled, you can also create a brand-new serial on the fly. When you type a serial number that doesn't already exist, the dropdown will show a "Create: [your value]" option with a plus icon. Select it to create the serial and assign it to the line item in one step.

The Serial List

Below the search field, you'll see a Serials section with an expand/collapse toggle (chevron arrow).

Collapsed view: Shows the first two serials as text, followed by a "+X more" indicator if there are additional serials.
Expanded view: Shows every assigned serial with edit and delete controls.

Click the chevron or the "Serials" label to toggle between views.

Editing a Serial

Expand the serial list.
Click the edit button (pencil) next to the serial you want to modify.
The serial value becomes an editable text field.
Make your change, then click the checkmark to save or the X to cancel.

Note: Edit and delete controls are only visible in the expanded view. In the collapsed view, serials are displayed as read-only text.

Removing a Serial

Expand the serial list.
Click the delete button (trash) next to the serial.
A modal window appears with two options:
- Delete - Permanently removes the serial from the system entirely. It will no longer appear anywhere, including the Serials inventory screen.
- Unassign - Removes the serial from this order line item but returns it to the unassigned pool. It remains available in your inventory for future use on other orders.

You can also close the modal without taking either action by clicking the red X in the upper-right corner of the modal window.

Important: Choose Unassign if you simply want to free up the serial for use elsewhere. Choose Delete only if the serial number itself is no longer valid and should be permanently removed.

Maximum Serials Per Item

Some products are configured with a maximum number of serials allowed per line item. When this limit is reached:

The serial search field becomes disabled.
The Bulk Add button becomes disabled.
You must remove an existing serial before you can add a new one.

Bulk Add Serial Sidebar

The Bulk Add feature lets you assign multiple serials to a line item at once, rather than searching and adding them one at a time.

Opening Bulk Add

Click the Bulk Add button next to the serial search field on a line item. A sidebar panel opens on the right side of the screen.

Note: The Bulk Add button is disabled when the line item has already reached its maximum serial count.

Step 1: Select Serials

The sidebar opens to the selection view. It only shows unassigned serials that belong to the same product as your line item.Filtering:

Use the Serial text field at the top to filter by serial number value.
Click Search or press Enter to apply the filter.

Selection counter: At the top of the list you'll see a count like "3 selected / 7 available". The "available" number represents the remaining capacity -- the maximum serials allowed minus any serials already assigned to the line item. This portion only appears when the product has a maximum serial limit. If you've reached the maximum, a "Maximum reached" warning appears.Selecting serials:

Check the box next to individual serials to select them.
Use the Select all on page checkbox to select every serial on the current page at once.
Navigate between pages using the pagination controls at the bottom. Your selections are preserved as you move between pages.
Once the maximum is reached, remaining unchecked serials become grayed out and unselectable.

When you've made your selections, click Review to proceed.

Step 2: Review and Confirm

The review screen shows a summary of all the serials you're about to assign.

The header reads "Review X serial(s) to assign" where X is your total selection count.
Each serial is listed with an X button to remove it if you change your mind.
Click Back to return to the selection view and adjust your choices.
Click Save to assign all selected serials to the line item at once.

After saving, the sidebar closes and the order refreshes with the newly assigned serials visible on the line item.

Canceling

On the selection view, you can close the sidebar by clicking the Cancel button at the bottom, or the red X button in the upper-right corner. On the review view, click Back to return to the selection screen, or the red X to close the sidebar entirely. No changes are saved unless you click Save.
